Position

Henderson Health Care Services, Inc. is seeking a full-time Materials Management Coordinator in the Henderson Community Hospital. Full-time, 5 days per week; 8am-4:30pm. Looking for someone with a minimum of one year one-year experience in medical field with knowledge/background of various medical supplies and equipment. 

Essential Duties and Responsibilities

  • Utilizes medical experience in networking with all departments to determine supply needs.
  • Maintains good interdepartmental and intradepartmental relationships by providing the highest level of services, management assistance and open communication.
  • Coordinates productive hours, space, equipment and expense as they relate to materials and service contracts.
  • Reviews, evaluates and approves all requests for non-stock purchases prior to procurement.
  • Reviews for approval all duplicating requirements of the various departments of the facility.
  • Maintains adequate supply levels throughout the facility.
  • Acts as the contact person for all purchase agreements with the various distributors for materials that may or may not be addressed by a group purchasing organization. Coordinates with the CFO to negotiate agreements.
  • Interviews sales representatives and reviews vendor performance data in relation to overall service rendered. Reports performance to CFO.
  • Coordinates all activities of Materials Managements, with the exception of sterilization procedures.
  • Solicits proposals from various manufacturers and distributors for all supplies and equipment throughout the facility, with the exception of pharmaceuticals and dietary products.
  • Maintains the Materials Management computer software system.
  • Selects products for purchase by testing, observing, or examining items in coordination with department heads.  Estimates values according to knowledge of market price.
  • Assists all department directors in the budget process, which includes operating and capital budget preparation and maintenance.
  • Reviews purchase orders.  Confers with vendors to obtain product or service information such as price, availability, and delivery schedule.
  • Maintains procurement records such as items or services purchased costs, delivery, product quality or performance, and inventories.
  • Discusses defective or unacceptable goods or services with users, vendors, and others to determine source of trouble and takes corrective action.
  • Arranges for disposal of surplus materials and checks recall and outdated items.
  • Posts merchandise to the inventory, checks price on invoice, multiples the extensions, and approves invoices for payment.
  • Prints and affixes labels to certain items ordered.  Places ordered items on shelves when received and restocks items as needed from storerooms.
  • Assists departments in obtaining Safety Data Sheets (SDS) on all hazardous materials used in the hospital.
  • Responsible for maintaining the accuracy of the Asset Management Database complying with the Asset Management policy, including but not limited to performing electrical checks, ensuring equipment is serviced and tagged.
  • Coordinates yearly inventory count with CFO.  Maintains contracts, catalogs, and literature on supplies.

OTHER DUTIES

  • Maintains confidentiality of all pertinent information in accordance with the Privacy Act and our own Employee Handbook.
  • Abides by employee immunization/vaccination policies.
  • Completes quality assurance data for department reporting.
  • Performs all other duties as assigned by the CFO.

Education and/or Experience

Bachelor’s degree (BA) or equivalent from four-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience. Minimum of one-year experience in medical field with knowledge/background of various medical supplies and equipment.   Computer knowledge and proficiency in Excel required.
